Summary: Undo/Redo are essential tools for experimenting and editing content and formatting. Apryse has added undo/redo tools to our DOCX editor to enable this ubiquitous functionality.

In time-sensitive workflows, experimenting with messaging, formatting, and document flows is not always possible. Environments such as the legal and financial sectors demand tools that allow for quick iteration without compromising efficiency or accuracy.

Undo/redo functionality—a straightforward yet crucial tool—was developed to improve the document editing experience. Prior to its arrival, users frequently had to juggle various document versions to maintain original formats while experimenting with modifications in a separate copy. This method was unwieldy and susceptible to mistakes, particularly when attempting to selectively retain or eliminate certain edits. Now, document editors with undo/redo functionality transform this process.

Undo/redo, the latest document editing feature in Apryse’s DOCX Editor, empowers users to experiment with content confidently without committing to permanent or time-consuming edits. Building on the momentum of track changes capabilities released in Q3—where text changes from Google or Microsoft documents are recorded in a comprehensive reviewing panel with timestamps and author notations—this update further enhances document transparency, collaboration efficiency, and overall reliability, making the DOCX Editor a robust tool for secure and flexible document editing.

Something as simple as a button can take on the responsibility of reapplying or removing document changes. With the addition of undo/redo functionality, DOCX users can effortlessly revert recent content or formatting changes or reinstate undone actions. This functionality acts as a safety net, empowering users to experiment freely while ensuring greater authoring efficiency and reliable error prevention.

How Undo / Redo Functionality Works:

When a user clicks the left-facing arrow in the top menu, the most recent document change is undone. Conversely, selecting the right-facing arrow in the same menu re-applies the change most recently removed. The undo/redo function applies to full words, individual spaces, or characters, taking into account the user’s typing habits and categorizing alterations based on typing speed.

When there are no more actions to undo or apply, the function will be disabled, preventing the user from selecting either button. Additionally, users can use hotkeys or keyboard shortcuts to carry out the same document editing action.

Common Use Cases for Undo / Redo:

The undo/redo feature reduces frustrations and mistakes in content editing, providing document collaborators with greater control and an improved user experience. Here’s how Apryse customers are putting the DOCX Editor’s latest document editing functionality to work in real-world scenarios:

  1. Format experimentation: A document user wants to reformat a section outlining key contractual obligations, such as payment terms, delivery timelines, or confidentiality clauses, by migrating a bulleted list into a table view for better readability. Once transferred over, they may find it doesn’t convey the information as clearly or effectively as the original list. Instead of manually moving each clause back to its original list format, the user can simply use the undo button to quickly revert as many changes as needed before completely restoring the content to its original structure.
  2. Redline and approval editing: When reviewing a document collaborator’s revisions to a clause regarding indemnification or liability limits, an approver may initially choose to reject their suggested changes. However, after further consideration or consulting with the team, they may determine that the proposed phrasing better aligns with the intent of the agreement. Using the redo button, they can easily reinstate the revision without needing to retype or reapply formatting manually.
  3. Error correction: Given the collaborative nature of contract revisions, a document user might accidentally overwrite the name of a legal entity, misstate a key financial figure, or remove a vital clause. Using the undo button, they can quickly revert to the previous version of the text, ensuring that critical details, like entity names, dollar amounts, or legal terms, remain intact and accurate while maintaining a clear track of changes for review.

Whether reformatting contractual obligations, refining redlines, or correcting financial details, the DOCX Editor’s new undo/redo functionality streamlines the editing process while maintaining content integrity. Combined with the track changes capabilities released earlier this year, this functionality empowers developers and users alike to experiment confidently with document content, formatting, and workflows.
